Cybix Privacy Policy

1. Who We Are

Cybix is a business software platform provided by CyberGlobalNet LLC, based in Maryland, USA. We offer hosted SaaS solutions and related services to businesses, accessible through our web platform and through the Cybix mobile applications for Android and iOS. All references to “Cybix,” “we,” “us,” or “our” refer to the platform operated by CyberGlobalNet LLC. This Privacy Policy applies to your use of the Cybix website, web application, and mobile apps (collectively, the “Services”).

2. Information We Collect

We collect the following types of data:

  • Account Information: Name, email, business name, billing address, and the workspace(s) you belong to.
  • Authentication Data: Sign-in credentials and, if you choose Google Sign-In, your Google account email and basic profile information used to match you to a workspace. If you enable App Lock, biometric authentication (such as fingerprint or face unlock) is performed entirely on your device by your operating system; we never receive or store your biometric data.
  • Payment Information: Handled securely by our payment processors (e.g., Stripe, PayPal). We do not store full credit card numbers.
  • Service Data: Data you enter into the platform, including customer records, files and documents you upload, notes, tasks, invoices, scheduling and booking records, fleet records, and other business content.
  • Communications Content: The content of communications you create or send through the Services, including SMS/MMS text messages, team chat (Connect) messages, group conversations, and any photos, files, or voice recordings you attach.
  • Voice, Call & Microphone Data: When you make or receive calls, record voice notes, or record a voicemail greeting in the app, we and our telephony providers process microphone audio, call recordings (where enabled), voicemail recordings, caller/recipient phone numbers, and call time, duration, and metadata.
  • AI Assistant Data: Prompts, messages, and content you submit to the in-app AI assistant or AI features (such as message rewriting, translation, and summaries) are processed by our AI providers to generate a response.
  • Mobile Device & Notification Data: Device model and operating system, app version, a device push notification token (used to deliver notifications), and a device name you set so sessions can be listed and revoked.
  • Usage Data: IP address, device info, and interaction logs.
  • Marketing Data: Email preferences and engagement with promotional messages.

3. Mobile App Permissions

The Cybix mobile app requests certain device permissions only to provide specific features. You can change these permissions at any time in your device settings; declining a permission may disable the related feature.

  • Microphone: To make and receive phone calls, record voice notes in Connect, and record your voicemail greeting.
  • Camera & Photos: To take or attach photos and files in Connect and other modules.
  • Notifications: To alert you to incoming calls, new messages, reminders, and other workspace activity.
  • Biometrics: To unlock the app when you enable App Lock (handled on-device by your operating system).

The current version of the Cybix app does not collect your device’s geographic location.

4. How We Use Your Information

We use your data to:

  • Provide, maintain, secure, and improve our Services;
  • Deliver the calling, messaging, scheduling, billing, and other features you use;
  • Process payments securely through third-party providers;
  • Send push notifications and account communications;
  • Operate AI features you choose to use;
  • Send marketing or promotional communications (only if opted-in);
  • Comply with legal obligations and enforce our Terms of Service.

Note: While we take extensive precautions to protect your data, no system is 100% secure. Use our platform at your own risk.

5. Legal Basis for Processing

We process your information based on performance of a contract (access to the SaaS platform), legal obligations, legitimate interests (such as improving services and preventing fraud), and consent (for marketing communications).

6. Who We Share Your Information With

We may share your information with trusted subprocessors and partners to operate our Services, such as cloud and infrastructure providers, payment processors, telephony and messaging providers, AI providers, push-notification and email providers, and identity-verification providers. We may also share information when required by law, to protect our rights, or in connection with a business transfer. Within a workspace, your account information and the content you create may be visible to the workspace owner and other authorized members of that workspace.

7. Subprocessors

To deliver and support our Services, we use third-party service providers (“subprocessors”) that may process data on our behalf. These subprocessors are contractually obligated to protect your data. Current subprocessors include:

  • Liquid Web — Cloud infrastructure and hosting
  • Stripe — Payment processing, saved cards, and Stripe Identity verification
  • PayPal — Payment processing
  • Square, Clover, and Intuit QuickBooks — Optional payment gateways and accounting integrations
  • Twilio — Telephony, voice calling, messaging, and customer communications
  • Google (Firebase Cloud Messaging, Google Sign-In, Google Maps) — Push notifications, authentication, and map display
  • OpenAI, Gemini and Anthropic — AI assistant and AI-powered features
  • ElevenLabs — AI voice agent, speech processing, and transcription
  • CentralNIC — Domain registration
  • MailerLite — Marketing emails
  • Mailgun — Transactional emails
  • Cloudflare — Security and performance optimization
  • Zapier — Automation platform
  • Zoom — Optional video meeting integration, OAuth authorization, meeting creation, meeting metadata, recordings/transcript link access where enabled by the user.

Identity verification (for example, in the HireFlow hiring module) is performed by Stripe Identity. Identity documents are submitted to and processed by Stripe as the verifying provider; Cybix receives the verification result and status, not the underlying identity documents.

8. International Transfers

If you access the Services from outside the USA, your information may be transferred to and processed in the United States. By using our Services, you consent to such transfer.

9. Retention

We retain personal data for as long as necessary to provide our Services, maintain business records, comply with legal obligations, resolve disputes, and enforce our agreements. After cancellation, we delete your SaaS project in accordance with our internal processes. Certain metadata—such as business name, account history, billing-related records, support history, and operational logs—may be retained for legitimate business and legal purposes. For voice and telephone interactions, retention may include call transcripts, interaction logs, and, if enabled, audio recordings, retained according to our operational needs and service-provider configurations.

10. Your Rights and Choices

Depending on your jurisdiction, you may have rights to access, correct, or delete your data; withdraw consent; object to processing; and file a complaint with a data protection authority. To exercise these rights, contact us at support@cybix.us.

11. Account and Data Deletion

The data in a workspace is owned by the organization and its account owner, who acts as the data controller; Cybix maintains the platform on their behalf. How a deletion request is handled depends on your role:

  • Account owners can cancel their subscription and delete their workspace and the data it contains from the Cybix portal at portal.cybix.us, or by emailing us.
  • Administrators and team members: because workspace data belongs to your organization rather than to individual members, requests to delete your account or data are made through your workspace owner or administrator, who can remove you and request deletion on the organization’s behalf. Cybix acts only on deletion requests submitted by the account owner.

12. Data from Children

Our Services are intended for business use. We do not knowingly collect data from individuals under 18. If we learn we have collected such data, we will delete it promptly.

13. Changes to this Policy

We may update this Privacy Policy. Updates will be posted here and, when material, we will notify you via email or in-app notice.
